Client Onboarding Package
Turn a signed client into a smooth start, with every follow-up built in.
The first few weeks with a new client set the tone for the whole relationship. You need the scope agreed in writing, a warm welcome, the right information collected up front, a well-run kickoff meeting and regular check-ins until the work is up and running. The Client Onboarding Package turns all of that into one repeatable process, so every client gets the same professional experience and nothing slips between steps.
Every template opens with a short How to Use This Document guide that names the documents it connects to. You always know what comes next, and your team can pick up a client at any stage.
What's included: 8 documents
For your client
- Client Welcome Pack: a welcome letter template covering the client's account team, what happens next, what you need from them and every key date.
- Client Intake & Discovery Questionnaire: 15 questions on the client's business, current situation, goals, access and approvals. It also includes an unticked marketing opt-in box, so your mailing list is consent-based from day one.
- Service Agreement / Engagement Letter: scope of services, term, fees and GST, client responsibilities, confidentiality, intellectual property, liability, privacy, termination, dispute resolution and signatures for both parties.
- Onboarding Email Sequence: five ready-to-send emails, from the welcome email through kickoff, progress, go-live and 30-day feedback. Each one comes with a suggested subject line and send timing.
- Kickoff Meeting Agenda: a timed 60-minute agenda with meeting details, discussion points, an action items table and next steps.
For your team
- Internal Client Onboarding Checklist: every task from pre-signature to go-live, grouped into five stages, with an owner and notes for each task and a sign-off at the end.
- Onboarding Progress Tracker (Excel spreadsheet): a pipeline overview of every client, task-by-task detail for each stage and a notes and blockers log, with drop-downs for stage and status.
- Client Details Spreadsheet (Excel spreadsheet): a master contact list for newsletters and marketing emails. It has columns for marketing consent and preferred channel, plus a separate Do Not Contact register for anyone who unsubscribes.
How it flows
Agree the Work → Welcome & Gather → Kick Off → Set Up & Deliver → Settle & Review. The checklist, the email sequence and the tracker all use the same stages, so whatever you tick off in one lines up with the others.
Designed to be used, not just downloaded
- Click-and-type fields with date pickers and tickable checkboxes. All the wording stays fully editable.
- Written for Australian small businesses, with GST, the Privacy Act 1988 (Cth) and the Spam Act 2003 (Cth) in mind.
- A consistent, professional format on A4 pages, in a clean design that looks right on screen and in print.
- Built to connect. This package is the second of the four Sorted Suite bundles. It builds on the Business Start-Up Package and works alongside the Staff Onboarding and Accounts & Bookkeeping packs.
Who it's for
Service businesses, consultants, agencies, bookkeepers, trades and other small to medium businesses that take on new clients regularly and want every client onboarded the same way, without rebuilding the paperwork each time.
